OFFICE ADMINISTRATOR

 

SWA is looking for an Office Administrator to join the practice on a part-time basis, to help support the team in all administrative and housekeeping duties. Reporting to the Operations Manager, the role’s key responsibilities include, but are not limited to: post, stationary ordering, front of house, managing the company’s mail@ account, management of the building and potentially managing the practice’s PR.

 

WORKING HOURS

Part-time: 12-15 hours a week, days TBC. Core office hours are 9am to 6pm.

 

SALARY

£22,000 – £27,000 pro/rata, dependent on experience.

 

MAIN TASKS

  • Front of house, meeting and greeting clients.
  • Answer the phone, fielding cold callers, general enquiries etc.
  • Manage the company’s mail@ account: fielding correspondence to the correct recipients, responding to project requests, lecture requests, job applicants etc.
  • Managing incoming and outgoing post.
  • Ordering stationery, office equipment, milk, coffee, kitchen & housekeeping supplies.
  • Liaising with cleaners, tenants, suppliers etc.
  • Monitor and maintain a clean & tidy condition of the office, kitchen & conference room.
  • Manage the maintenance of building fire extinguishers, insurances etc.
  • Manage subscriptions and memberships, ARB/RIBA etc.
  • Assist in organising CPD and public events including their hospitality side.
  • Organise building awards entries.
  • Potentially manage the practice’s PR. Deal with requests for information from publishers and PR consultants.
  • Assist in updating the practice’s web site and our presence on RIBA Find An Architect.
  • Assisting others in completing the RIBA Benchmarking Survey.
  • Assist others to research new business opportunities and set up meetings.
  • Organise lunches, events and talks.

 

 

PERSON SPECIFICATION

Essential

  • At least 1 years experience within a working environment.
  • Flexibility to change working days/times to company’s requirements.
  • Proficiency with the MS Office suite (Word, Excel and Outlook)
  • A good communicator, with excellent written and spoken English.
  • Good time management with the ability to work under pressure and to deadlines.
  • Strong attention to detail.
  • The ability and confidence to work under minimum supervision.
  • Ability to work as an individual or as a team.
  • The ability to think ahead, anticipating problems and opportunities and finding solutions.
  • Visual awareness.
  • Well organised and self-motivated with a ‘can do’ attitude.

 

Desirable

  • A degree or equivalent experience.
  • A strong interest in sustainability and respect for the environment.
  • An architectural, design or creative background.
  • Knowledge of InDesign and Photoshop.
